Medical Front Office Assistant

The Medical Front Office Assistant will be the first point of contact for our patients, making a significant impact on their experience with us. We are looking for someone who is not only adept at administrative tasks but also excels in customer service. An important part of this role involves verifying insurance eligibility, so experience in this area is a great plus.

  • Warmly greet patients upon arrival, ensuring they feel welcomed and supported.
  • Handle patient scheduling, including appointments and follow-ups, ensuring optimal clinic flow.
  • Utilize excellent phone etiquette to manage incoming calls, patient inquiries, and appointment bookings.
  • Maintain patient records with accuracy and confidentiality, ensuring all documentation is up-to-date.
  • Process patient payments and handle billing inquiries with sensitivity and professionalism.
  • Collaborate with medical staff to ensure a seamless patient experience from front to back office.

Medical Back Office Assistant

The Back Office Medical Assistant is responsible for performing a variety of patient care, technical, and administrative duties to assist our healthcare providers. This role requires a compassionate individual who is efficient, detail-oriented, and skilled in clinical practices. The ideal candidate will have experience in a similar role, with a strong emphasis on patient care and clinical support.

  • Assist healthcare providers with patient care, including taking medical histories, recording vital signs, explaining treatment procedures, and preparing patients for examinations.
  • Perform basic laboratory tests on the premises, manage specimen collection, and prepare specimens for offsite laboratory testing.
  • Administer injections, medications, and vaccines as directed by the healthcare provider.
  • Perform electrocardiograms and in-house lab tests.
  • Ensure examination rooms are prepared and stocked with necessary supplies and equipment.
  • Maintain cleanliness and sterilization of instruments and work areas following infection control guidelines.
  • Assist in the management of patient flow to ensure timely care and maximize provider productivity.
  • Maintain patient confidentiality and comply with all HIPAA guidelines.
  • 1+ year of experience as a Medical Assistant in a back office or similar clinical setting.
  • Strong clinical skills with the ability to perform all required tasks with minimal supervision.
  • Excellent communication and interpersonal skills, capable of working closely with other healthcare professionals and providing compassionate care to patients.
  • CPR certification required.
  • Completion of the first and second doses of the COVID-19 vaccine required.

Medical Scribe

The Medical Scribe will play a vital role in our clinic by accurately documenting patient encounters according to the directions of our healthcare providers. This position not only offers a unique glimpse into patient care but also significantly contributes to the efficiency and effectiveness of our healthcare services.
  • Precisely document patient encounters in real-time, including patient histories, examination findings, diagnoses, treatment plans, and follow-up care.
  • Showcase a strong foundation in medical documentation and clinical workflows.
  • Utilize extensive medical terminology knowledge in all documentation tasks.
  • Provide superior customer service and uphold professional phone etiquette at all times.
  • Ensure the confidentiality and security of patient information in compliance with HIPAA regulations. – Assist in scheduling appointments and managing patient records, enhancing the overall efficiency of the clinic.
  • 6 months to 1 year of proven experience as a healthcare scribe. – Proficient in medical terminology.

Referral Coordinator

The Referral Coordinator plays a critical role in our team, acting as the liaison between our patients, providers, and specialist services. Your primary responsibility will be to manage and facilitate patient referrals, including verifying insurance coverage, obtaining pre-authorizations, and ensuring a smooth and efficient process for both patients and providers. This role requires a detail-oriented individual with a strong background in healthcare coordination.
  • Coordinate and process patient referrals to specialists, diagnostic centers, and other healthcare facilities as ordered by providers.
  • Verify insurance eligibility and benefit coverage for referred services, obtaining necessary pre-authorizations and documenting all relevant information.
  • Act as the primary point of contact for patients, specialists, and healthcare providers, ensuring clear communication and coordination throughout the referral process.
  • Maintain accurate and up-to-date records of all referrals, authorizations, and patient communications in the electronic health record (EHR) system.
  • Follow up on referral outcomes, obtaining specialist reports, and ensuring they are reviewed by the referring provider and properly documented in the patient’s medical record.
  • Work closely with medical billing and insurance companies to resolve any issues related to referrals and authorizations.
  • 1 + year of prior experience in a referral coordinator within a healthcare setting – Proficiency in insurance verification, pre-authorizations, and an understanding of healthcare billing processes.
  • Excellent organizational and multitasking skills, with the ability to efficiently manage a high volume of referrals.
  • Strong communication and customer service skills, with the ability to interact effectively with patients, providers, and insurance representatives.
  • Proficiency in using medical office software, including EHR systems.
  • High school diploma required; further education or certification is a plus.
  • Starting $18+ per hour, commensurate with experience.
